Job Summary/Basic Function
Support the essential operations of ODS by coordinating ADA-mandated student services and managing daily department functions & processes. Facilitate the delivery and quality of direct services to students by managing student employees and coordinating contracted services. Maintain all ODS financial accounts and transactions.
Associates degree with minimum of 3 years experience working in the field of disability services in higher education
Bachelors with 5 years experience in the field of working with people with disabilities in higher education
Essential Functions and percent of time
Coordinate peer note taker program and reader/writer services for students with disabilities. Recruit, train, and supervise student employees. Monitor quality of work, approve student time sheets, monitor e-mails and phone calls during evenings and weekends to respond to urgent reader/writer and note taker concerns. 30%
Support ODS staff by coordinating daily front office operations. Directly supervise 3-6 front office student employee Office Assistants. Manage 10+ professional staff calendars, provide phone line coverage, and open and distribute all incoming mail. Maintain confidential student records and file room. Work with supervisor to follow record retention schedule for archiving student files. Assist supervisor with special projects/events. 20%
Coordinate contracted interpreter and C-print services for students who are Deaf or hard of hearing for academic activities and university-sponsored events. Distribute service request procedures to other University departments that need to request contracted services. Reviews all service requests and ensures all appropriate requests are fulfilled. Reviews invoices for accuracy and delivers to Accounts Payable for processing. Manage other contracted services, including: consultant services, database maintenance, transcription services, etc. 25%
Track, manage, and reconcile the ODS budget totaling over $1 million/year (including over 40 foundation accounts) to include: Analyze expenditures and project areas of impact within the budget. Consult with the Student Affairs Business Manager to resolve financial/accounting discrepancies. Maintain all departmental financial records, accounts payable and receivable. Audit accounts regularly to ensure accuracy and compliance with University policies. Manage records of all services performed by ODS student workers. Calculate and processes charge-backs to student client for applicable student services. Creates invoices for services provided to external entities. 25%
Office environment – ability to occasionally lift up to 40 pounds. Frequently uses computer and phone.
